Understanding email template freshness

When you change an email or QR template in Ali Reviews, emails that are already scheduled and QR codes that are already generated aren't automatically updated. This article explains why, and how to bring them up to date.

Why items go outdated

Ali Reviews renders emails into HTML at the time they're scheduled, not at the time they're sent. QR code inserts are rendered when the QR code is generated. This means if you change a template after an email is scheduled or a QR code is generated, those existing items still use the old design.

Ali Reviews tracks this and flags any items that are using an outdated template.

The outdated banner

When any scheduled emails or generated QR codes are using an old template, a banner appears at the top of the relevant page:

{N} scheduled email(s) are using an outdated template
or
{N} QR code(s) are using an outdated template

Both banners can appear at the same time if both email and QR templates have been updated.

To update all items at once: Click Update to latest template in the banner. This re-renders all affected items using your current template. A confirmation toast appears when it's done.

To dismiss without updating: Click Not now or the ✕ button. The banner stays dismissed until the next time you change a template.

Updating individual emails

You can also update emails one by one from the Request dashboard:

1. Go to Collect Reviews > Request dashboard.
2. Find an email row showing the Outdated badge (a clock icon with amber background).
3. Click the Update link next to the badge.
4. The badge is removed and a toast confirms the email has been updated.

This is useful if you only want to update specific emails while leaving others as-is.

QR codes: bulk update only

QR codes can only be updated using the banner's Update to latest template button. There's no per-row update for QR codes.

Things to know

• Updating an item re-renders it with the current template immediately. The scheduled send time doesn't change.
• Once an item is updated, it won't show the outdated badge again unless you change the template again.
• Bulk and per-row updates can't run at the same time for the same item.
• Dismissing the banner doesn't affect your items. They stay outdated until you choose to update them.
